If you connect a Gmail mailbox, you authorize the application to access matching messages and attachments for the purpose of processing student submissions. The application may search messages, download supported attachments, analyze documents, and apply configured labels or folders when enabled.
You are responsible for ensuring that you have permission to connect and process the mailbox you use with this application.
User Responsibilities
When using the application, you agree to:
- Use the application only for legitimate internal submission processing.
- Review analysis results before relying on them for operational decisions.
- Protect student information and mailbox credentials.
- Use only authorized Gmail accounts, app passwords, API keys, and hosting credentials.
- Report suspected security, privacy, or processing issues to the administrator.
AI-Assisted Analysis
Arrahmah Doc Flow may use an AI vision provider to analyze page images from student documents. AI output may be incomplete, uncertain, or incorrect. Users remain responsible for reviewing exceptions, manual review flags, unclear results, and any important processing outcome.

Use of the application is also governed by the Privacy Policy. The Privacy Policy explains what information may be accessed, processed, stored, and shared with service providers needed to operate the application.
Availability and Changes
The application is provided for internal operational use. It may be updated, interrupted, suspended, or modified as needed for maintenance, security, hosting, cost control, or workflow changes.
